AI is now attached to almost every school product, and a good deal of it is a chatbot over data the school already had, or a spreadsheet with a new label. That does not make it useless — it makes it important to know which parts are real. This guide separates the uses that work today from the ones that do not.

Start With What Policy Actually Says

The National Education Policy 2020 addresses technology in Chapter 23, “Technology Use and Integration” and Chapter 24, “Online and Digital Education: Ensuring Equitable Use of Technology”. Among technologies it identifies as disruptive, it names artificial intelligence.

Two corrections worth carrying into any staff meeting

NDEAR is not part of NEP 2020 — it was announced in the Union Budget 2021-22, and the term does not appear in the NEP document. And NEP 2020 sets no dated implementation deadlines for its technology provisions, so claims that a deadline has “already passed” are usually wrong.

PM e-VIDYA, by contrast, is the delivery mechanism rather than the policy: it unifies digital, online and on-air education, and its components include DIKSHA, the SWAYAM portal, SWAYAM Prabha television channels, radio and community radio, e-content for children with special needs, and coaching content for competitive examinations.

The Use That Reliably Works: Answering From Your Own Data

By a wide margin, the most dependable application of AI in a school office today is retrieval. A large share of the questions a school office receives have a single correct answer that the school already stores: attendance, fee dues, examination dates, homework set, timetable changes.

That makes them a good fit for automation, because there is no judgement involved. The tool is not deciding anything; it is looking something up and phrasing the answer. Where the underlying data is correct, the answer is correct.

The condition that makes it work

Retrieval is only as good as the record behind it. A school whose attendance is recorded daily and correctly gets a useful assistant. A school whose attendance is reconstructed at month end gets confident answers to questions it cannot actually answer.

The Use That Is Mostly Marketing

A second category of AI product claims to predict or advise: which student will drop out, who is at risk academically, what a school should do next. These are harder to justify, and the honest position is that they require evidence a vendor should be able to show.

The problem is not that prediction is impossible. It is that school data is sparse, inconsistent and short-horizon, and a model that appears accurate on a vendor's prepared sample may behave very differently on one school's actual records. A claim of accuracy on prepared data is not evidence of accuracy on yours.

The reasonable test is straightforward: ask what data the feature reads, ask what it outputs, and ask for its measured performance on data resembling your school. A vendor who cannot answer has a feature, not a capability.

Where AI Does Not Belong

Not every decision should be delegated

AI is appropriate for retrieving, summarising, drafting and translating. It is not appropriate for deciding anything that carries consequence for a student.

✓Awarding or amending grades. Assessment is a professional judgement with accountability attached. A model cannot be accountable.
✓Disciplinary or welfare decisions. These turn on context and human judgement, and an error is not recoverable.
✓Inferring attendance. Attendance should be a record of what happened, not a model's estimate of what probably happened.
✓Anything a parent could reasonably expect a human to decide. Parents accept automation for lookups and object to it for decisions.

Student Data: Ask Before You Sign

India's Digital Personal Data Protection Act, 2023 governs personal data, and children's data attracts particular care. The framework is still developing, which makes it more important rather than less to ask questions at procurement.

We are not giving legal advice here, and a school should take its own view. But the questions themselves are not technical:

✓Where is student data stored and processed, and in which country?
✓Is school or student data used to train models, and can that be switched off contractually?
✓Who inside the vendor can access identifiable student data, and is that access logged?
✓What happens to the data if the school stops using the product?
✓Does the school retain the ability to export its own records in a usable format?

A Sensible Adoption Sequence

1Fix the data first. An assistant over unreliable records produces confident wrong answers, which is worse than no assistant.
2Start with retrieval of routine queries — attendance, fees, timetables — and measure how many office calls they remove.
3Publish the answers to parents directly before adding a conversational layer on top, because the app removes the query rather than answering it.
