At ClickMaker IT Solutions, we want you to be completely satisfied with School Orbit ERP. This Cancellation & Refund Policy outlines our approach to refunds and cancellations for our subscription services.

1. Free Trial Period

We offer a 7-day free trial for new customers to explore School Orbit features. During the trial:

  • No payment information is required to start.
  • Full access to all features included in your selected plan.
  • You can cancel anytime without any charges.
  • Trial period begins from the date of account creation.

We encourage you to thoroughly evaluate the platform during the trial before subscribing.

2. Eligibility for Refund

You may be eligible for a refund under the following conditions:

  • First-Time Subscribers: Request made within 30 days of initial paid subscription.
  • Service Unavailability: Extended service outage (more than 72 consecutive hours) not due to scheduled maintenance.
  • Billing Errors: Duplicate charges or incorrect billing amounts.
  • Critical Feature Failure: Core functionality not working as advertised, and we are unable to resolve within 14 days.

3. Non-Refundable Situations

Refunds are NOT available in the following cases:

  • Requests made after 30 days from the payment date.
  • Subscription renewals (monthly or annual).
  • Change of mind after the 30-day refund window.
  • Violation of our Terms and Conditions leading to account suspension.
  • Setup fees, implementation charges, or custom development work.
  • Third-party add-ons or integrations purchased separately.
  • Training sessions already conducted.
  • Partial month or unused days of subscription.

4. How to Request a Refund

To request a refund, follow these steps:

  1. Email us at billing@schoolorbit.in with the subject line "Refund Request".
  2. Include your organization name, registered email, and subscription details.
  3. Clearly state the reason for requesting a refund.
  4. Provide any relevant documentation or screenshots if applicable.

Our billing team will review your request and respond within 3-5 business days.

5. Refund Processing

Once a refund is approved:

  • Credit/Debit Cards: Refund will be credited to the original payment method within 7-14 business days.
  • Bank Transfer: Refund will be processed to the source account within 7-14 business days.
  • UPI Payments: Refund will be credited to the UPI-linked account within 5-7 business days.

Processing times may vary depending on your bank or payment provider. We are not responsible for delays caused by third-party payment processors.

6. Subscription Cancellation

You can cancel your subscription at any time from your account settings:

  • Your access continues until the end of the current billing period.
  • No further charges will be made after cancellation.
  • You can export your data before the subscription ends.
  • Account data is retained for 30 days after expiry, then permanently deleted.

To cancel, go to Settings → Billing → Cancel Subscription in your School Orbit dashboard.

7. Prorated Refunds

We do not offer prorated refunds for:

  • Cancellations made during an active subscription period.
  • Downgrading from a higher to a lower plan mid-cycle.
  • Reducing the number of users on your account.

If you downgrade or reduce users, the change will take effect at the start of your next billing cycle.

8. Annual Subscriptions

For annual subscription plans:

  • Refund requests must be made within 30 days of the annual payment.
  • After 30 days, you may cancel but will not receive a refund for the remaining period.
  • Service access continues until the annual term expires.

9. Exceptions

In exceptional circumstances, we may consider refunds outside the standard policy at our discretion. These cases are reviewed individually and may include:

  • Severe service issues affecting core functionality.
  • Documented hardship situations.
  • Long-term customers with valid concerns.

Such requests are handled on a case-by-case basis and are not guaranteed.
