School Admissions Management: From Enquiry to Enrolment
Admissions are the only part of the school year that is both intense and irreversible. Everything captured during a two-month window has to serve attendance, fees, examinations and board lists for the following twelve. The failures surface much later than they occur.

Those figures describe a market where parents have choices and schools compete for enrolment. In that setting, the quality of an admission process is a commercial matter, not only an administrative one.
The Admission Funnel
An admission is not a single event. It is a sequence of stages, and a school loses candidates at whichever stage it handles least well.
Enquiry
The first contact, by phone, in person, through a website form, or by referral. If it is not recorded, it cannot be followed up.
Follow-up and visit
The school's actual differentiator: the visit, the conversation, and how quickly somebody responds.
Application and documents
Where most administrative loss occurs, because requirements vary and records arrive incomplete.
Confirmation and fee
Where the enrolment becomes real, and where a clear fee structure prevents disputes later.
Class allocation
Section, roll number and subject combination — decisions that every subsequent record depends on.
Handover to the session
Login IDs, transport allocation, timetable placement and the student's presence in attendance registers from the first working day.
Where Schools Actually Lose Candidates
Most schools believe they lose admissions on price or reputation. In practice, the recoverable losses are procedural.

Documents: Collect Everything Once
Admission is the one moment when a school has the parent's attention and the documents in front of them. Every field not captured then becomes a phone call in September, a reminder to a parent who has already forgotten, and occasionally a record that never arrives at all.

Decide the mandatory document set once, and do not admit a student without it. A school that accepts incomplete records in the rush will spend the following term completing them under worse conditions.
Class, Section and Roll Number
Allocation looks like a trivial decision and is in fact the hinge on which the rest of the year turns. Attendance registers, timetable placement, subject allocation, examination seating and report cards all depend on knowing exactly which class and section a student belongs to.
Because of that, allocation belongs on the student record rather than in a notebook or a spreadsheet that only the office can see. It also has to survive promotion — the end of one session is the start of the next session's data problem.

Issue Login IDs at Enrolment, Not After
If the school communicates with parents through an app, a parent without credentials is a parent the school cannot reach. Issuing logins at enrolment rather than in the second month also means the read records on notices start from day one.

Set the Fee Structure Before the Session Starts
The fee structure agreed at admission is what invoices should generate from, for the rest of the student's time at the school. Where it is recorded at enrolment, instalments, concessions and transport charges follow automatically. Where it is not, somebody reconstructs it by hand each cycle and eventually gets it wrong.
Concessions deserve particular care. A sibling concession or a staff concession should be a property of the student record, not something a clerk has to remember every invoice run. The relevant documentation is fee groups and invoices.
