Assign Roles to Employees
After creating login IDs, assign the right role to each employee so they can only see what they need to.
Roles control what each employee can see and do. A Teacher should not see finance data. An Accountant should not change student marks. Assign roles carefully!
Common Role Assignments
| Employee Type | Best Role | What They Can Do |
|---|---|---|
| Principal | Super Admin | Everything — full school control |
| Vice Principal | Admin | Most features except billing settings |
| Class Teacher | Teacher | Attendance, homework, marks for their classes |
| Subject Teacher | Teacher | Homework & marks for their subjects only |
| Office Staff | Receptionist | Student records, fee collection, enquiries |
| Accountant | Accountant | Fee management, income/expense, reports |
| Librarian | Librarian | Library books, issue/return, members |
| Transport Manager | Transport | Vehicle and route management |
How to Change an Employee's Role
1
Go to Employees → click on the employee's name.
2
Find the 'Login Access' section.
3
In the Role dropdown, select the new role.
4
Click Update. Their permissions change immediately.
Best Practices
- Start with the least permissions needed. Add more later if required.
- Create custom roles for unique positions (like Sports Teacher, Lab Assistant).
- Review roles every 3 months — remove access for transferred employees.
- Always keep at least 2 Super Admin accounts (in case one gets locked out).
